Your role: As an Executive Assistant you will play a critical role in supporting our leadership, ensuring efficient office operations, managing schedules, and handling various administrative tasks.

How you will contribute to our success:

  • Manage the CEO’s calendar, prioritize scheduling needs, and coordinate meetings, appointments, and events.
  • Arrange and oversee all travel logistics.
  • Assist the CEO with project management, tracking timelines and deliverables, and ensuring alignment across departments.
  • Prepare reports and updates for executive reviews.
  • Conduct research on industry trends and competitors, compile reports and provide data insights to support strategic decision-making.
  • Prepare materials for executive and board meetings, take detailed minutes, and manage follow-up tasks.
  • Handle sensitive documents with strict confidentiality, maintain organized filing systems and ensure secure handling of all documentation.
  • Serve as the CEO’s liaison with internal and external stakeholders, respond to inquiries professionally and maintain the organization’s reputation.
  • Organize company events, executive retreats, and other special activities.

Qualifications:

  • Minimum 3 years of experience in an administrative, executive, or personal assistant role, preferably within the telecommunications or fiber optics industry.
  • Bachelor’s degree or equivalent experience in Business Administration or a related field would be considered an asset.
  • Excellent organizational and multitasking abilities with keen attention to detail.
  • Strong verbal and written communication skills in English; German language proficiency is a plus.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling tools.
  • High degree of professionalism, confidentiality, and integrity.
  • Ability to work independently and proactively in a fast-paced environment.
